Before You Start
-
Your WhatsApp business number must be connected — see Connect and Configure WhatsApp .
-
You need an approved Marketing Template to send — see Setting Up Marketing Templates .
-
If you have never sent a broadcast before, read WhatsApp Broadcasts first for the basics, test sends, and META messaging costs. This guide focuses on the campaign lifecycle around those basics.
Step 1: Create a Draft
-
From the top navigation bar, click Marketing , then select Campaigns .
-
Click New Campaign .
-
In the dialog, enter a Campaign Name you will recognize later (for example “June service reminder”) and click Create Campaign .
The campaign will be created as a draft before you choose the audience and template. Nothing sends yet — you can leave a draft and come back to it any time from the campaign list.
Step 2: Setup
The campaign editor walks you through three steps: Setup, Audience, and Review.
On the Setup step, pick the WhatsApp Account to send from and the WhatsApp Template to send. The Message Preview shows how it will look on a customer’s phone, and you can send yourself a test before going further.
Step 3: Choose Your Audience
The Audience step is where you decide who receives the message. Under Audience Filters you can combine:
| Filter | What it does |
|---|---|
| Registration place | Limit the audience to one sales channel |
| Channel mix | Target POS-only, online-only, or omnichannel customers — options are Both POS and online, POS only, and Online only |
| Registration date | Only include customers who joined during this time window |
| Last order date | Only include customers whose latest order falls in this range |
| Total Orders | Only include customers whose completed order count falls inside this range |
| Total Spent | Only include customers whose lifetime spend falls inside this range |
| Recent campaign cooldown | Skip customers who were already reached by a broadcast in this many days |
There is also a Max recipients cap — a default safeguard for each campaign that limits how many customers are selected.
Step 4: Review — Send Now or Schedule for Later
The Review step shows your Campaign Summary and a Send Time card with two choices:
-
Send Now — start preparing and dispatching the campaign immediately after confirmation.
-
Schedule for later — pick a Send Date and Send Time; the campaign stays put until then. The scheduled time must be at least 1 minute in the future.
Click Send Campaign Now or Schedule Campaign (the button shows the recipient count). A confirmation dialog summarizes how many WhatsApp messages you are about to send, with which template, and the estimated cost, before anything goes out.
Campaign Statuses
Each campaign in the list shows a status badge. The ones you will see most:
| Status | Meaning |
|---|---|
| Draft | Being set up — nothing has been sent |
| Scheduled | Locked in and waiting for its send time |
| Preparing | The audience is being locked in just before dispatch |
| Sending | Messages are going out now |
| Paused | Sending is suspended until you resume |
| Completed | All messages have been dispatched |
| Stopped | You ended the campaign early — remaining messages will not send |
| Failed | The campaign could not complete — check the recipient list for errors |
Managing a Campaign After Launch
Open any campaign from the list and use its actions menu:
-
Cancel schedule — a scheduled campaign returns to draft so you can change it.
-
Send now — dispatch a scheduled campaign immediately instead of waiting.
-
Pause / Resume — temporarily halt a campaign that is sending, then continue where it left off.
-
Stop — end the campaign; unsent messages are not sent.
-
Retry failed — re-attempt just the recipients whose messages failed.
-
Archive / Delete — tidy up finished campaigns. Deleting cannot be undone.
Tracking Results
The campaign list shows Sent, Delivered, Read, and Launch Time for every campaign. Open a campaign to see its Audience Snapshot — the exact recipients locked in for launch — with each person’s Phone, Name, Status, Sent at, and any Error. Delivery metrics update as WhatsApp accepts, delivers, and reads the campaign messages, so read rates keep rising for a day or two after sending.
Check It Worked
-
After launching, the campaign’s status moves from Preparing to Sending, and then Completed.
-
The Sent and Delivered counts on the campaign page climb toward your recipient total.
-
Spot-check a few rows in the recipient list — their status should show as sent or delivered, with no error.
If It Didn’t Work
-
Status is Failed, or many recipients show errors — open the recipient list and read the Error column. Invalid phone numbers are the most common cause; failed rows can be re-attempted with Retry failed.
-
Campaign stuck in Scheduled — check the send time you picked; it may simply not have arrived yet. Use Send now to dispatch immediately.
-
Fewer recipients than expected — revisit your audience filters. A tight Recent campaign cooldown or the Max recipients cap are the usual reasons.
FAQs
Can I edit a campaign after scheduling it?
Yes — use Cancel schedule to return it to draft, make your changes, then schedule it again.
Does pausing a campaign lose progress?
No. Pause suspends dispatch; Resume continues with the recipients who have not been messaged yet. Already-sent messages are unaffected.
Why does my campaign take several days to finish?
WhatsApp caps how many marketing messages your number can send per day. When your audience exceeds the limit, EasyBiz delivers in daily batches until everyone is reached.
What is the Audience Snapshot?
The moment a campaign launches, the audience is locked in based on your filters at that time. Customers who later match your filters are not added to an already-launched campaign.
