What Is EasyBiz Workflow?
EasyBiz Workflow is the staff mobile app for your business. There is one app to install — what each staff member sees inside it depends entirely on the access you grant them. Depending on how your mobile apps are configured, staff can:
-
View, search, and scan orders
-
Pack orders and complete deliveries, with photo proof
-
Work through their assigned jobs and work orders
-
Take payments and top up customer store credit
-
Look up and register customers, and check their loyalty balances
-
Check and move inventory
-
Reply to customers from the WhatsApp inbox
Before You Start
-
You need admin access to the EasyBiz Console to create staff accounts.
-
Your subscription must include the EasyBiz Workflow product. You can check under your profile icon → Billing → subscription details.
-
Have each staff member’s email address ready — it becomes their login.
Step 1: Create the Staff Account
-
In the console, click your profile icon and open the Teammates section.
-
Click + Add Teammate .
-
Enter the staff member’s email address and the display name you want to appear in EasyBiz.
-
On the account’s settings page, send the sign-in email so they receive their credentials, and add their phone number.
The initial password is system-generated. You can click Reset Password to set a new one — it is displayed only once, so note it down and share it with the staff member right away. You can reset it again any time if it is forgotten.
Step 2: Grant Mobile App Access
-
Still on the teammate’s settings page, scroll down to the System Access section.
-
From the dropdown, select the mobile app this person should use — for example the app you configured for your drivers or your operations team.
-
Click Add Access .
Step 3: Staff Installs and Signs In
-
The staff member downloads EasyBiz Workflow from the App Store (iPhone) or Google Play (Android) on their own phone.
-
They open the app to the Sign in to your account screen and enter their Email — the same one you used in Step 1.
-
They tap Continue with email , enter their Password, and tap Log in .
Check It Worked
-
The staff member lands on the app’s home screen and sees the pages you configured — for example their job list for a driver, or packing for a back-room worker.
-
Assign a real task (for drivers: a job in the Job Table with them as the assigned worker) and confirm it appears in their app.
-
Have them complete one action — mark a job done, or complete a task — and confirm you can see the result in the console.
If It Didn’t Work
-
“Email or password not correct” — reset the password from the teammate’s settings page and share the new one. Remember it is shown only once.
-
Signed in, but the app looks empty — the account has no mobile app access yet, or the app they were given has no pages configured. Re-check the System Access section and your mobile app setup in Settings.
-
“Your account has been disabled” — the account was disabled in the console; re-enable it from the Teammates section.
-
Driver sees no jobs — jobs must be assigned to them. In the console go to Logistics → Job Table, set the Assigned Worker, and click Update Jobs. See Setting Up the Job Table .
FAQs
Is there a separate app for drivers?
No — drivers use the same EasyBiz Workflow app. What makes an account a “driver account” is the mobile app access you grant it. To invite a driver and turn on app access, see Inviting Your Team and Managing Access .
How is this different from POS staff management?
POS staff management controls who can operate your counter POS and what they can do there — see Set Up POS Staff Management . EasyBiz Workflow accounts are for staff working from their phones. A staff member can have both.
Can staff use their own phones?
Yes — that is the normal setup. Each staff member installs the app on their own device and signs in with their personal work credentials. Never share one account between staff; you lose track of who did what.
Can I change what a staff member sees later?
Yes. Update their access in the System Access section of their teammate page, or edit the mobile app’s pages in Settings — changes reach their app without reinstalling.
What happens when someone leaves the team?
Disable their account from the Teammates section. They can no longer sign in, and their history stays intact for your records.
