## Before you start

- **Use one WhatsApp Business account.** Every number you add goes into the WhatsApp Business account that is already connected to EasyBiz. You can't connect a second WhatsApp Business account: logging in with a different one replaces the account you have.

- **Have the phone ready.** Meta sends a verification code to the new number by text message or voice call.

- **Choose the display name customers should see.** Customers see it in WhatsApp, and your team sees it in the Inbox, for example _Brightway Home Cleaning_.

---

## Step 1 — Add the number

1. Go to <Badge>Settings</Badge> → **Administration** → <Badge>Integrations</Badge>.

2. On the **WhatsApp Business** row, click <Badge>Add phone number</Badge>.

3. Enter the **Country code** (for example _65_), the **Phone number** and the **Display name**, then click <Badge>Continue</Badge>.

4. Choose how to get the code, <Badge>Text message (SMS)</Badge> or <Badge>Voice call</Badge>, and click <Badge>Send code</Badge>.

5. Enter the **Verification code** and click <Badge>Verify</Badge>.

6. When you see _Number added and registered_, click <Badge>Close</Badge>.

The new number now shows on the WhatsApp Business row, and messages sent to it arrive in your Inbox.

<Callout type="note" title="📝 Number already on a WhatsApp app?">

<Badge>Add phone number</Badge> is for numbers that are not on a WhatsApp app. To bring in a number you already use in the **WhatsApp Business app**, click <Badge>Reconnect</Badge> on the WhatsApp Business row, then <Badge>Login with Facebook</Badge>. In the Meta window, choose the **same** WhatsApp Business account and follow the steps to connect the number. It keeps working in the app on your phone.

A number on the regular **WhatsApp** app must be removed from that app first (WhatsApp → Settings → Account → Delete account). This deletes its chat history, so back up anything you need before you do it.

## How the Inbox shows each number

Once two or more numbers are connected, every chat shows which number the customer messaged.

![The Inbox with two numbers: each chat shows which brand the customer messaged, and the reply box shows the number the reply goes out from](https://cdn.easybizcloud.app/knowledge/b23884b2-6d80-476e-a9c3-d232fb0676ec.png)

- **Chat list:** each chat has a line under the last message, such as _via Brightway Home Cleaning_.

- **Chat header:** the brand follows the customer's phone number.

- **Reply box:** _Replying from Brightway Home Cleaning · +65 6123 4568_ shows the number your reply goes out from.

Replies always go out from the number the customer messaged, whether your team, an auto-reply rule or an AI agent sends them. A customer of one brand never gets a reply from the other.

The name shown is the number's WhatsApp display name. If two numbers have the same display name, the Inbox shows the phone number instead.

## See one number's chats

![The Number filter open, listing All numbers and each number with its display name](https://cdn.easybizcloud.app/knowledge/e2cdd35d-c38f-4b1a-9246-96d032dcb989.png)

Use the **Number** filter above the chat list. Choose a number to see only its chats, or <Badge>All numbers</Badge> to see every chat again.

The filter is hidden while you search or filter by label. Clear the search or the label to use it.

---

## Start a new chat from a chosen number

![The new conversation panel with the Phone Number list open, showing both business numbers](https://cdn.easybizcloud.app/knowledge/134fd98f-3870-45d6-87f1-e651ec3806da.png)

1. Open the Inbox without selecting a chat.

2. Under **Start conversation with new customer**, enter the customer's phone number.

3. Under **Phone Number**, choose which of your numbers the chat comes from.

4. Click <Badge>Start WhatsApp</Badge>.

A new conversation starts with an approved message template. See [Managing Conversations Inbox](/docs/managing-conversations) for how to send one.

## Good to know

- **Automatic messages go out from your default number,** the one you connected first. This covers order notifications, payment reminders and Online Store sign-in codes. If you sell in more than one market, for example Singapore and Malaysia, choose which number each market sends from in <Badge>Settings</Badge> → **WhatsApp** → **General Settings** → **Number per market**.

- **Campaigns let you choose.** When you set up a campaign, pick the number it sends from under **Phone Number**.

- **Business Info is for your default number.** The profile picture, address and other details you set in <Badge>Business Info</Badge> apply to your default number.

- **Message templates are shared.** Templates belong to your WhatsApp Business account, so every number can use them.

- **To rename or remove a number,** change it in Meta's WhatsApp Manager, then click <Badge>Refresh status</Badge> on the WhatsApp Business row to update EasyBiz.
